Why Outsourcing Payroll Makes Sense for Your Business
Payroll is one of the most regulated areas of running a business. Between Real Time Information (RTI) reporting requirements, workplace pension auto-enrolment duties, National Insurance calculations, and constantly evolving HMRC legislation, the scope for costly errors is significant. A single mistake in a payroll submission can result in penalties, interest charges, and unwanted attention from HMRC compliance teams.
For business owners in Guildford, Woking, and across Surrey, outsourcing payroll to a trusted professional is one of the most effective ways to reduce risk and reclaim valuable time. Rather than spending hours each week navigating tax codes, deduction calculations, and pension contributions, you can focus on the work that actually grows your business. At 360 Accounts & Bookkeeping, we take the complexity of payroll off your hands entirely, giving you confidence that your employees are paid correctly and every submission to HMRC is accurate and on time.
What Our Payroll Service Covers
Monthly & Weekly Payroll Processing
We calculate gross pay, PAYE income tax, employee and employer National Insurance contributions, student loan deductions, and net pay for every employee. Whether you run a weekly or monthly payroll, we ensure each pay run is processed accurately and delivered on schedule.
RTI Submissions to HMRC
Every pay run triggers a Full Payment Submission (FPS) to HMRC under the Real Time Information system. We handle these submissions on or before each pay day, together with Employer Payment Summaries (EPS) where required, keeping you fully compliant with HMRC reporting rules.
Pension Auto-Enrolment Management
We manage your workplace pension obligations from start to finish, including assessing eligible workers, calculating contribution amounts, liaising with your pension provider, and handling opt-in and opt-out requests in line with current legislation.
Year-End P60s, P11Ds & P45s
At year end, we prepare and distribute P60s for all employees, submit P11D returns for benefits in kind, and issue P45s for any leavers throughout the year. We also handle the final FPS submission to confirm your year-end figures with HMRC.
Every payroll we process is checked for accuracy before submission. We stay up to date with the latest tax thresholds, National Insurance rates, and statutory pay entitlements so that your payroll always reflects current legislation. You receive detailed payslips for each employee and clear summary reports showing your total PAYE liability, pension contributions, and any statutory payments due.
How We Handle Payroll for Surrey Businesses
When you join us, we begin with a thorough setup process. We gather all the information we need about your employees, including tax codes, National Insurance numbers, pension scheme details, and any existing payroll records from your previous provider. If you are setting up payroll for the first time, we handle your PAYE registration with HMRC and help you choose a suitable workplace pension scheme.
Once everything is in place, we establish a regular payroll cycle that suits your business. Before each pay date, you simply let us know about any changes (new starters, leavers, overtime, bonuses, or absences) and we take care of the rest. We process the pay run, submit the RTI reports to HMRC, generate payslips, and provide you with a summary of the amounts due to HMRC and your pension provider.
Our payroll service integrates smoothly with popular accounting software including QuickBooks, Xero, and Sage, ensuring your payroll figures flow directly into your management accounts without any manual re-entry. We work with businesses of all sizes across Guildford, Woking, Godalming, Camberley, and the wider Surrey area, from single-employee companies to firms with large teams.
Employer Obligations You Cannot Afford to Miss
As an employer, you have strict legal deadlines that carry real financial consequences if missed. Here are the key obligations we help you manage:
RTI Submissions on or Before Pay Day
HMRC requires a Full Payment Submission (FPS) on or before each pay day. Late submissions can result in penalties starting at £100 per month for each 50 employees, and repeated failures may trigger a compliance review.
Auto-Enrolment Within 6 Weeks
New eligible employees must be enrolled into your workplace pension scheme within six weeks of their start date. Failure to comply can lead to escalating fines from The Pensions Regulator, starting at £400 per day for smaller employers.
P60s Issued by 31 May
Every employee on your payroll at 5 April must receive their P60 by 31 May. This document summarises their total pay and deductions for the tax year and is required for personal tax returns and mortgage applications.
P11D Deadline 6 July
If you provide benefits in kind to employees, such as company cars, private medical insurance, or interest-free loans, P11D forms must be submitted to HMRC by 6 July following the end of the tax year.
Auto-Enrolment: Your Pension Duties as an Employer
Since 2018, every employer in the United Kingdom is required to provide a workplace pension scheme for eligible employees. This is not optional. It is a legal obligation enforced by The Pensions Regulator, and the penalties for non-compliance can be severe. As an employer, you must assess each worker on every pay date to determine whether they meet the eligibility criteria based on their age and earnings.
The current minimum contribution rates require employers to contribute at least 3% of qualifying earnings, with the employee contributing at least 5%, bringing the total minimum contribution to 8%. Qualifying earnings are calculated on the band between the lower and upper earnings thresholds, which are updated each tax year. Getting these calculations right on every pay run is essential to staying compliant.
It is also important to be aware that every three years from your staging date, you must carry out a re-enrolment exercise. This involves reassessing employees who previously opted out and enrolling those who are now eligible. We manage this entire process for our payroll clients, including sending the required employee communications, liaising with your pension provider, and submitting the re-declaration of compliance to The Pensions Regulator. With 360 Accounts handling your auto-enrolment, you can be confident that your pension duties are met correctly and on time.
